Publish a Policy

Publish a policy to make it available to staff and configure any required acknowledgement, review dates, and recurring reallocation settings. This process ensures employees can access the latest policy version and, where required, confirm they have

Once a policy has been created or updated, it can be published to make it available to staff. During the publishing process, you can choose whether employees must acknowledge that they have read the policy and configure any review or reallocation requirements.


Step 1: Locate the Policy

  1. Open Access Policies & Procedures.

  2. Select the second icon from the navigation menu and choose Policy Management.

  3. Find the policy you want to publish.

  4. Open and review the policy details.

  5. Click Next to proceed to the publishing settings.


Step 2: Configure Publishing Settings

Before publishing, review and amend the settings as required:

Require Staff Acknowledgement

  • Enable This policy version requires acknowledgement of being read if employees must confirm they have read the policy.

  • If acknowledgement is enabled:

    • Set a due date by which staff must read the policy.

    • Specify the next review date.

    • Assign a responsible person for the policy.

Set a Recurring Due Date (Optional)

If acknowledgement is required, you can enable Auto Set Recurring Due Date Period.

This allows the system to automatically reassign the policy to staff after a specified period, ensuring ongoing compliance and regular policy review.


Step 3: Finish Publishing

  1. Review the publishing settings to confirm they are correct.

  2. Click Publish to make the policy available to staff.

  3. Users will be notified according to your organisation's policy configuration.

  4. If acknowledgement is required, staff will be prompted to confirm they have read the policy by the specified due date.

Outcome

The policy is now published and available to employees. Any acknowledgement, review dates, and recurring assignment settings will be managed automatically based on the configuration you selected during publishing.
