This release introduces new features to Access Policies & Procedures: Policy Delete, which gives administrators the ability to permanently remove policy versions; and an updated Getting Started Wizard, which simplifies the initial onboarding question flow for new users.

Policy Delete
Overview
Administrators can now permanently delete individual policy versions directly from the Policy Management table. When all versions of a policy are deleted, the entire policy record is removed. This feature gives administrators full control over the policy version lifecycle.
Role restriction: Only users with the Administrator role can delete policy versions. The Delete Policy Version action is not visible to Manager, Editor, or User roles.
How to Delete a Policy Version
Step 1: Open the Action menu
In the Policy Management table, locate the policy you want to manage. Open the Action menu for that policy.
Step 2: Select Delete Policy Version
Click Delete Policy Version. A confirmation modal will appear. The modal will show one of two messages depending on how many versions the policy has:
If the policy has multiple versions: the modal confirms that the current version will be deleted.
If the policy has only one version: the modal states "This is the only version. Deleting it will remove the entire policy."
Step 3: Confirm or cancel
Click Delete Version to confirm. The deletion is permanent and cannot be undone.
Click Cancel to dismiss the modal without making any changes.
After deletion
If the policy had multiple versions: the previous version becomes current and is displayed in the Policy Management table with updated metadata, status, and dates.
If the policy had only one version: the policy is permanently removed from the Policy Management table.
When the current version is deleted, the Next Review Date is automatically set to one year from the deletion date. For example, if we delete v2 on 26th Jun 2026, the Next Review Date for v1 will become 26th Jun 2027.
A success message confirms the deletion.
Deleting Versions Successively
You can delete versions one at a time, working backwards through a policy's history. For example, if a policy has three versions:
Deleting the current version sets the second version as current.
Deleting the current version again sets the first version as current.
Important Note:
When multiple versions exist with different recurrence intervals, deleting a newer version causes the previous version to adopt the newer interval. For example, if v1 has a 6‑month recurrence and v2 has a 12‑month recurrence, deleting v2 results in v1 inheriting the 12‑month schedule, and its due date is recalculated accordingly
Audit Trail
Every deletion is recorded automatically in the compliance audit log. Each audit record captures:
User ID of the Administrator who performed the deletion
Timestamp of when the deletion occurred
Policy ID affected
Version number deleted
Action type (VERSION_DELETED or POLICY_DELETED)
Organisation ID
This data is retained for compliance and support purposes. It is not displayed in the AP&P user interface.
Error handling: If a deletion fails due to an error, the modal will close and an error message will be displayed. No changes are made to the policy and no audit record is created. The policy table will remain unchanged.
Getting Started Wizard
Overview
The Getting Started wizard has been updated to simplify the onboarding question. The questions have been reviewed and refined to reduce complexity, making it easier for new users to complete their initial setup and begin using Access Policies & Procedures quickly and confidently.
No changes have been made to what the wizard configures, only the presentation and sequencing of questions have been updated.
Note:
The Getting Started wizard appears the first time you log into AP&P. If you’ve unchecked “Show this window after login,” you can access it again via Settings (cog wheel) > Getting Started.
