Access Policies and Procedures now includes a GDPR-compliant cookie system that saves your preferences across devices

We’ve added a new cookie consent system to Access Policies and Procedures that meets GDPR requirements. It’s designed to be simple and user-friendly, making sure your preferences are saved to your account, so they stay the same no matter which device you’re using.

What’s new

Cookie Preferences

We’ve added a new cookie consent pop-up to Access Policies and Procedures that helps you manage how cookies are used. It clearly explains the different types of cookies and lets services like Intercom, Microsoft Application Insights and Wootric work smoothly based on your preferences.

This update helps you stay fully compliant with UK data protection rules around cookies. Your preferences are saved to your account, not just your browser, so they stay the same wherever you log in. You’ll see clear explanations of the different types of cookies like Essential & Security, Analytics & Performance and Functional, so you know exactly what’s being used. And no matter which browser or device you’re on, your choices will stay in sync.

New Features

Consent Modal

A consent modal is displayed to new users and to those whose consent has expired after six months.


The modal clearly outlines cookie categories, providing detailed explanations of what each category includes and how it enhances the user experience.

Preference Management Modal

When users select "Manage Preferences", they see a comprehensive modal showing specific services used by AP&P:

Analytics & Performance:

  • Microsoft Application Insights (Third Party) - Application performance monitoring and analytics

Functional:

  • Intercom (Third Party) - Customer messaging and support chat functionality

  • Wootric (Third Party) - NPS (Net Promoter Score) surveys

Each service includes toggle controls, purpose descriptions, and "View details" links for transparency.

Using the Cookie Policy System:

Users see consent modal when cookie preferences are required

  • Choose between "Required Only", "Accept All", or "Manage Preferences" options

  • Essential & Security cookies are always enabled for core functionality

  • Functional cookies (e.g., Intercom, Wootric) and Analytics & Performance can be individually accepted or declined.

  • Later access detailed settings through My Settings → Cookie Preferences for ongoing management

Available consent options :

  • Required Only -- Essential cookies for AP&P functionality

  • Functional -- Intercom chat support and Wootric feedback

  • Analytics & Performance -- Microsoft Application Insights application performance monitoring and analytics

  • 6-Month Validity -- Consent choices remain valid for 6 months

  • Preference Management -- through My Settings → Cookie Preferences for ongoing management

Cookie Policy and Preference Management

Comprehensive Cookie Policy:

  • New dedicated page with detailed explanations of all cookie types and their purposes

  • Clear information about Interco, Wootric and Microsoft Application Insights functionality and data processing practices

  • Contact information for data protection queries

Cookie Policy in Footer:

  • A Cookie Policy link will be permanently visible in the product footer for easy access to comprehensive policy information

  • Cookie Preferences accessible through My Settings after initial consent for ongoing preference management is selected

  • Instant preference updates when preferences are saved

  • Changes don't reset original 6-month expiry date

My Settings Integration:

  • "Cookie Preferences" accessible through My Settings

  • Individual toggle controls for each cookie category with detailed purpose descriptions

  • Product-specific sections showing "Policies & Procedures Preferences" for AP&P

  • "Save" functionality to confirm and apply preference changes

  • "View detailed policy" links for comprehensive information on each category


How this version will be made available

This update will be automatically rolled out to all customers on 24th of September.
